Upgrade of Microsoft SharePoint Workspace version 2010 to 2013

ITS supports a collaborative content management service running on Microsoft SharePoint server (hereafter called “SharePoint”).  Under SharePoint, a variety of functions for collaboration and communication enhancement such as blogging, group calendar, document library and search, group website and setting up of group email addresses are supported.   Each department can register for a designated workspace with the URL: https://dept_abbreviation.workspace.hku.hk/ for its use.

ITS will upgrade the Microsoft SharePoint version 2010 to 2013 during November to December 2016.  The new SharePoint 2013 infrastructure will have the benefits of larger uploading file size (up to 150MB), better compatibility with Microsoft Office 2013/2016 applications, improved database performance and better content security.

Departments using SharePoint have been contacted and informed of the details about this upgrade.   A pre-migration site running on SharePoint 2013 for hosting department’s SharePoint contents will be set up 3 weeks before the proposed migration date.  The site administrators will be notified by email when the pre-migration site is ready for testing so that they can check the contents to confirm if the site is good for migration.

After the upgrade, the URL of the new SharePoint site (2013) will remain unchanged and the old SharePoint site (2010) will then be changed to read-only mode.  It will be accessible for one more month after the migration date.

To ensure a smooth site migration, departments are advised to contact ITS by email to sharepoint-team@hku.hk if the site contains workflows developed by Microsoft Visual Studio or embedded with other customized programming which may require additional migration steps and testing.

User guides for general users and site administrators on the use of SharePoint 2013 can be found at

Any departments interested in using the SharePoint facility can submit CF158 after reading the information sheet.  In case you have any question about the SharePoint facility, please contact the undersigned.
