Retirement of HKUCC System Supporting Central Email Service for Staff

ITS has been working on consolidating the staff email accounts to one single platform since 2015. This consolidation project is to facilitate unified communication among staff members and optimize the maintenance effort of ITS colleagues in supporting the central email service.

While the majority of the staff email accounts are now hosting on the HKUCC1 system running on Microsoft Exchange 2013, there are a small group of about 1,700 University staff members having their accounts on the HKUCC system. HKUCC is a legacy staff email system that has been in service since 1999. Due to its ageing condition and the reasons for consolidation mentioned above, we are now working to retire this legacy staff email system. After migrating all these 1,700 accounts to HKUCC1 system, all staff email accounts will then be consolidated to run on a single platform.

In the next two months, we shall send an email to all staff members using HKUCC accounts requesting them to register for account migration by picking a preferred date. For those accounts not yet migrated by the end of October 2016, they will be migrated according to a designated schedule and account owners will be kept informed of the schedule before the actual migration date.

A number of training workshops on using HKUCC1 system will be conducted to facilitate colleagues to understand more on using this email platform. Colleagues using the legacy HKUCC system are welcome to join one of the following workshops-

Agenda and schedule (with hands-on training):

  1. Introduce the new user interface for MyEmail of HKU Portal and webmail.hku.hk for Exchange 2013
  2. Difference between Exchange 2007 and 2013
  3. Hands on trainings on using common features of Exchange 2013
  4. New email archive "In-place Archive"
  5. Accessing email via webmail, Microsoft Outlook and mobile devices
