Currently, University members have several means of locating staff office contact information, viz. through the printed or online Communications Directories, or through the Address Book in the Central Staff Email System; but maintaining these different means involves duplicated efforts and yet none of them provides complete and up-to-date information of all staff.
I am pleased to inform you that Information Technology Services (ITS) has developed an internal online Staff Communication Directory (SCD) in consultation with the Human Resource Section, aiming at providing a single source of up-to-date staff office contact information. The Directory contains Name, Department, Office Location, Email Address and Office Telephone Number of University staff, and is searchable using any of these fields. Access to the information is restricted to University staff only.
The Directory will be launched on 28 February 2013 at 9 am. Users may access the Directory (via Campus Information Services > Staff Communication Directory) after logging into the HKU Portal or by looking up the Address Book inside the central email system. The staff office contact data in the Human Capital Management System (HCMS) is the sole source of data for the Directory. It is therefore important for colleagues to keep the office contact data in HCMS up-to-date. Data update can be done via the “Personal and Family Data Form” under HKU Portal (Self Service > Human Resources > Personal & Family Data Form). The Directory is synchronized with the data from HCMS on every working day.
