1. IT initiatives (July 2019)

The following new central IT initiatives are launched in July 2019 to help provide better work and campus life experience to staff, students and departmental administrators.

(a) Attendance@HKU 

Attendance@HKU app was first launched in late 2018 to help departments modernize the operation and management of attendance taking for classes or events in lieu of the use of paper or smart card attendance system. Staff/students are only required to open the app during a class or an event in any of the centrally timetabled classrooms and attendance will be automatically recorded. Administration functions are available for departmental administrators to extract the attendance record for operational needs.  This can eliminate queues and manual effort in record consolidation.

This function can now be extended for use in departmental classrooms and laboratories on the top of the centrally timetabled classrooms.  

Target for: Teachers/class instructors and class attendees

(b) HKU Event Calendar 

The HKU Event Calendar facilitates colleagues and students to opt-in University events of interest that can synchronize with personal calendars such as Google or Outlook calendar. Users can choose the events to add by event categories such as lecture/tutorial/examination timetables, University holidays, pay days, etc.

Target for: All staff and students holding a valid HKU Portal account and faculty/departmental administrators

(c) Convene Paperless Meeting 

The paperless meeting system ‘Convene’ is a new central IT system for departments to arrange and conduct meetings using the functions of meeting notification, agenda distribution and voting.  This can reduce paper usage and streamline meeting setup and administration.

Meeting organizers can make use of a web-based interface to manage the meeting agenda and minutes, meeting organizers, participants and actions. Meetings can be scheduled by a few simple clicks. Meeting participants, on the other hand, can use an app to join and participate in the meeting.

Target for: Meeting organizers and meeting participants

(d) Mobile Payment for Department Services 

Mobile Payment for Department Services is a new central IT solution to facilitate departments in fees/charges collection and product sales at their service counters using mobile app; income collected will be credited into departments’ designated accounts automatically which streamlines the income reconciliation process between departments and FEO.

Target for: Departmental administrators collecting fees/charges/income from sale or selling products/services and their customers
