Under the Microsoft Enrollment for Education Solutions (EES) agreement signed between the University and Microsoft, all students and staff can download and install Microsoft Office ProPlus (Office 365) on up to 5 personal machines (PC or Mac) and Office apps on 5 mobile devices including Android, iPad, and Windows tablets without additional cost. They can also use Microsoft's online cloud storage OneDrive for Business (5 TB in size) and Skype for Business.
We are pleased to inform our users that the Office 365 service for use by students has been enhanced so that the authentication step can be done with a student’s HKU Portal UID/PIN. New students admitted in 2018/19 and onwards can use their email address in the form of PortalUID@connect.hku.hk and their HKU Portal PIN to download and install Office 365 on their personal devices.

For students admitted before 2018/19, their login step to use Office 365 remains unchanged. That is, they will use PortalUID@hkumssa.onmicrosoft.com and a pre-assigned initial password to login Microsoft’s portal. Students can find their initial password from an email sent by ITS under the subject “Microsoft Student Advantage Program – Free Download of Microsoft Office for Students”. If they can’t find that email, they can go straight to reset the password via the procedures set out in section 5 of the ITS webpage on “User Guide for Office 365 ProPlus” (click here). After successful login via https://login.microsoftonline.com/, students will be prompted to reset their initial password by a preferred password of their own before they can start using this Microsoft service.

Students’ right to use Office 365 will expire after they leave or graduate from the University. The Microsoft products on their devices will be deactivated after the expiry date, which is the same as that of their HKU Portal accounts.

Staff’s right to use Office 365 will expire when they leave or retire from the University. After the expiry date, Office 365 will be deactivated. The result is that further access to Office apps, OneDrive for Business and Skype for Business on their personal device(s) will not possible and the data stored on OneDrive for Business will be deleted.
Staff and students are advised not to store or share any personal or sensitive data on OneDrive, which is a public cloud storage. Staff members should refer to the "Guidelines on Electronic Communications and Storing Personal Data on Portable Storage Devices, Personally-owned Computers and Public Cloud Services" at http://www.its.hku.hk/about/policies/personal-data-guidelines (a part of the University's Code of Practice in respect of the Personal Data (Privacy) Ordinance) for the detailed requirements and advice on implementing appropriate security measures to protect the relevant data.
Office 365 cannot be installed on PCs running with other locally installed Microsoft products e.g. Project/Visio 2013, and it is a requirement that all trial or earlier versions of Microsoft Office must be uninstalled before Office 365 is downloaded.
