Under the Microsoft Enrollment for Education Solutions (EES) agreement that the University has signed with Microsoft, all students and staff in departments subscribed to EES can download and install Microsoft Office ProPlus (Office 365 ProPlus) on up to 5 personal machines (PC or Mac) and Office apps on 5 mobile devices including Android, iPad, and Windows tablets without additional cost. They can also use Microsoft's online cloud storage OneDrive for Business (1 TB in size) and Skype for Business (for staff in departments on EES subscription only).
The program offered for use by students to download Office 365 ProPlus is called Microsoft Student Advantage (MSSA) Program.
Current students who joined the University before mid-August 2014 should have received an email message from us inviting them to use this service in August 2014. For those who missed this email, they can check for their account name and initial password assigned for using the Office 365 ProPlus service under HKU Portal (type "MS Office" in the Search field and click the link "MS Office – Reset Password"). After successful login at https://login.microsoftonline.com/, they will be prompted to reset the initial password by assigning a preferred password of their own before they can start the installation of Office 365 ProPlus.
New students will receive an email message from us inviting them to use the Office 365 ProPlus service after they joined the University. They can use the assigned account name and initial password included in the email to login to https://login.microsoftonline.com/ and start using Office 365 ProPlus service after the initial password is reset.
Students’ right to use Office 365 ProPlus offered under MSSA will expire once they leave or graduate from the University. The Microsoft products on their devices will be deactivated after the expiry date, which is the same as that of their HKU Portal accounts.
Staff in departments subscribed to EES can use Office 365 ProPlus by login to https://login.microsoftonline.com/ using their HKU Portal UID (yourUID@hku.hk) and PIN. The credentials to login this Microsoft portal are synchronized with HKU Portal UID and PIN. Whenever their HKU Portal UID/PIN is changed, the account name/password to access this Microsoft portal will be updated correspondingly. For staff members using @hkucc.hku.hk account, they are requested to reset their HKU Portal PIN once (Go to HKU Portal > type "pin" in the Search field > click the link "Change HKU Portal PIN") before they can start using the Office 365 ProPlus service.
The right to use Office 365 ProPlus offered under EES is limited to faculty and staff in departments subscribing to EES. This right will expire when they leave or retire from the University, or change to work under another department not subscribing to EES. After the expiry date, Office 365 ProPlus will be deactivated and access to Office apps, OneDrive for Business and Skype for Business on their personal device(s) will become unavailable. The data stored on OneDrive for Business will be deleted after the use right is updated and removed.
Staff and students are advised not to store or share any personal or sensitive data on OneDrive, a public cloud storage offered by Microsoft. Staff members should refer to the "Guidelines on Electronic Communications and Storing Personal Data on Portable Storage Devices, Personally-owned Computers and Public Cloud Services" at http://www.its.hku.hk/about/policies/personal-data-guidelines (a part of the University's Code of Practice in respect of the Personal Data (Privacy) Ordinance) for the detailed requirements and advice on implementing appropriate security measures to protect the relevant data.
Office 365 ProPlus cannot be installed on PCs running with other locally installed Microsoft products e.g. Project/Visio 2013 and all trial or earlier versions of Microsoft Office must be uninstalled before Office 365 ProPlus is downloaded.
